Enquiries
Our enquiry forms
When you send an enquiry through a form on this website (about a van, finance, a new build or anything else) we collect what you type in and choose:
- your name, phone number and/or email address, and how you would like us to contact you;
- the van you are asking about and the page you sent the enquiry from;
- what you are looking for (for example chiller or freezer, size, new or used, budget, when you need it, whether you would like finance, and your trade);
- if you have a van to part-exchange, its registration, mileage and any other details you give us;
- your message.
We need a name and a phone number or email address to reply to you. Everything else is up to you.
The enquiry is sent to us by email. Our sales software then reads it so we can reply quickly: it records the enquiry for our sales team, looks for vans in our stock that match what you asked for, and may send you an automatic email reply with those vans. It uses an artificial intelligence (AI) service to read the wording of your enquiry. A member of our sales team then follows your enquiry up personally. This is only used to help us answer you; it is not used to make any decision about you that has a legal or similarly significant effect.
WhatsApp, phone and email
Our forms also let you send the same message by WhatsApp or from your own email instead. If you choose WhatsApp, your message, name and phone number are handled by WhatsApp under its own privacy policy and arrive on the WhatsApp account our sales team uses. If you phone or email us directly, we use what you tell us in the same way as a form enquiry.
Why we use it and our lawful basis
We use your enquiry to answer it, to send you details and prices of suitable vans, to value a part-exchange and to follow up with you about the van you want. Our lawful basis is that you have asked us to do this before possibly buying from us (UK GDPR Article 6(1)(b)), and our legitimate interests in answering enquiries and selling vans (Article 6(1)(f)). Many of our customers are businesses; if you are enquiring for a company, we use your work contact details on the basis of our legitimate interests.
Finance
Our finance is for business customers only. If you ask about finance, we use the details you give us to work out which lenders may be able to help. With your agreement we pass your details, and those of your business, to the lender or lenders we introduce you to so they can give you a quote and decide whether to lend. Each lender is responsible for how it uses your information, which usually includes checks with credit reference and fraud prevention agencies, and will give you its own privacy notice. We are a credit broker, not a lender.
When you buy a van
When you buy from us we keep the information needed to sell and deliver the van and to look after you afterwards: your name, contact details, business details, delivery address, the van and its registration, the price and how you paid, the warranty and any finance arranged. Our lawful bases are the contract with you (Article 6(1)(b)) and our legal obligations, for example to keep accounting and tax records (Article 6(1)(c)).
Emails about our vans
We send emails about vans we have in stock. We only send them where the law allows: to people who have bought from us (about similar vans), to company email addresses, and to anyone who has agreed to receive them. Our lawful basis is our legitimate interests in telling customers about our vans. Every email has an unsubscribe link, and you can also ask us to stop at any time at info@grv4fridgevans.com. Once you unsubscribe we keep your email address on a “do not email” list so that you are not added again.
Visiting our website
Website security
When you visit the website, our hosting provider’s servers record the technical details any website receives: your IP address, the page you asked for, the date and time, your browser and device type and the page you came from. These records are used to run the website, keep it secure and find faults. If someone tries to log in to the website’s management area and gets the password wrong several times, we keep the IP address for a short time (up to 30 minutes) to block further attempts. Our lawful basis is our legitimate interests in keeping the website working and secure (Article 6(1)(f)).
Cookies and similar technologies
We use the consent tool Complianz to ask for your permission before any cookie or similar technology that is not strictly necessary is used. When you first visit, you can accept or refuse:
- Statistics: Google Analytics tells us how many people visit, which pages they look at and how they found us, so we can improve the website. It is provided by Google through Google Tag Manager.
- Marketing: Google Ads measures whether our adverts on Google lead to enquiries and calls. If you came to our website from a Google advert, the phone number shown may be a Google forwarding number: calls to it are put through to us, and Google tells us the call’s start time and length, the caller’s area code (and, for most calls longer than 15 seconds, the caller’s phone number) and which advert it came from.
None of these are used unless you accept them. The consent tool itself stores your choice in a cookie so it doesn’t ask you again on every page; that cookie is strictly necessary and does not need your consent. Our lawful basis for the statistics and marketing tools is your consent (Article 6(1)(a)). You can change or withdraw your choice at any time from the “Cookie settings” link at the bottom of every page; it does not affect anything that happened before you changed it. Our Cookie Policy lists each cookie, what it does and how long it lasts.
Google is responsible for how it uses information it collects through its own products; see Google’s privacy policy.
Videos and maps
Some van pages have a video hosted by YouTube or Vimeo. The video is only loaded from YouTube or Vimeo when you press play; from then on that service receives your IP address and may set its own cookies under its own privacy policy. Links to Google Maps open the map on Google’s own website.
Reviews
Our website shows some reviews our customers have posted publicly on Google, with the reviewer’s first name and the first letter of their surname, because they help other buyers decide (our legitimate interests). If you are one of those reviewers and would like your review taken off our website, email us and we will remove it.
Who we share your information with
We do not sell your personal information. We share it only with:
- the companies that provide the services we use to run our business, who handle it only on our instructions: our website host (Kinsta, which delivers the website through Cloudflare), our email provider (Microsoft 365), our email marketing service (Mailchimp), and the providers behind our sales software (its hosting, its database and the AI service that reads enquiries);
- Google, for the statistics and marketing tools described above, only if you accept them;
- lenders, if you ask us to arrange finance and agree to it;
- our professional advisers, HMRC, the police or other authorities, where the law requires it or to protect our legal rights.
Information sent outside the UK
Some of these providers are based in, or use servers in, the European Economic Area or the United States. Where your personal information leaves the UK, it is protected as UK data protection law requires: by UK adequacy regulations (including the UK-US data bridge for certified US companies) or by the international data transfer agreements in each provider’s data protection terms.
How long we keep your information
- Enquiries that don’t lead to a sale: kept so we can help you if you come back to us later. You can ask us to delete yours at any time.
- Sales records: at least 6 years from the end of the financial year the sale was in, because company and tax law requires us to keep them.
- Email list: until you unsubscribe; after that only your email address is kept on our “do not email” list.
- Website security records: kept by our hosting provider for a limited period and then deleted automatically; failed log-in records for up to 30 minutes.
How we keep your information safe
Your information is stored in our email accounts and our sales software, which only our own staff can sign in to. The website uses an encrypted connection (HTTPS), and access to its management area is protected by passwords, two-step log-in and limits on failed log-in attempts.
Your data protection rights
Under data protection law, you have rights including:
- Your right of access: you can ask us for copies of your personal information.
- Your right to rectification: you can ask us to correct information you think is inaccurate, or complete information you think is incomplete.
- Your right to erasure: you can ask us to erase your personal information in certain circumstances.
- Your right to restriction of processing: you can ask us to restrict how we use your information in certain circumstances.
- Your right to object: you can object to us using your information on the basis of our legitimate interests, and you can always stop us sending you marketing emails.
- Your right to data portability: you can ask us to transfer the information you gave us to another organisation, or to you, in certain circumstances.
- Your right to withdraw consent: where we rely on your consent (cookies), you can withdraw it at any time.
You do not have to pay to exercise your rights. We will reply within one month, or tell you within that month if we need longer because your request is complex. To make a request, email info@grv4fridgevans.com, phone 01444 245555 or write to us at the address above.
How to complain
If you are unhappy with how we have used your personal information, please tell us first: email info@grv4fridgevans.com or write to us at the address above. We will acknowledge your complaint within 30 days, look into it without undue delay, keep you updated and tell you the outcome.
If you are still not satisfied, you can complain to the Information Commission, the UK’s data protection regulator (formerly the Information Commissioner’s Office):
